Guidelines for Classroom Observations or Student Teacher Requests

Principals are directed to follow the guidelines below when receiving requests for classroom observations or student teaching assignments at their school locations. College/University students will have received and cleared a background check during their post-graduate institution program prior to beginning their classroom observation or student teaching experience.  All concerns regarding college/university student assignments should be directed immediately to an HR administrator.

Classroom Observation Requests
Requests for short-term observations from college/university students or advisors must include a written request to the school principal from the college/university advisor.  Such requests are approved at the discretion of the principal and the written requests are to remain at the school location.  Students approved to observe in the classroom are to be supervised at all times.

Student Teacher Requests
During the student teacher assignment, an HR administrator will serve as a liaison between the principal and the college/university advisor; however, the advisor will work directly with the principal and the cooperating teacher.

Requests to student teach are approximately two to three months in duration and are made through the HR Department by the college/university advisor.  An HR administrator will contact interested principal(s) who will then identify a cooperating teacher meeting the following criteria and expectations.  The cooperating teacher must:

  • be a career teacher (not provisional);
  • is willing to complete student teacher evaluations;
  • is willing to work with the college/university advisor and allow the advisor to conduct classroom observations; and
  • will instruct, model, and mentor the student teacher in professionalism, best teaching practices and classroom management.

Please feel free to call an HR administrator with any questions regarding this process.

Principals & Administrative Assistants:

The Administrators of Schools have some instructions they asked us to send out regarding the August 13th professional development. Each school will need to provide sign in sheets, with their staff names listed in alphabetical order as well as two columns for their staff to sign in. They will be signing in when they first arrive as well as when lunch is finished. A sample is provided with this email. Please send a copy (hard copy or electronically) to your AOS secretary, by August 5th, as well as provide a copy on a clipboard with pen attached for your principal to bring with them on the day of the conference (August 13th). Elementary principals will be stationed along the sides of the chairs with their clipboard and a sign that will be provided with your school name on it, so staff will be able to see where their principal can be found. High school and middle school principals will be on the first row of tables behind the chairs to sign in their staff members.

Principals, we would ask that you be at the Mountain America Expo Center no later than 7:15 a.m. so we can help you find your sign in area and get your sign to you. You may want to notify teachers that it would be a good idea to come early as there will be a lot of people trying to park and get signed in before the 8:00 a.m. start time.

Superintendent Godfrey would like each school to sit together. A seating chart will be sent out to each school a few days prior to the conference. At that time please make a copy for your principal to have on the clipboard for reference. You may also want to send a copy to your staff members so they have an idea of where your school will be seated.

Thanks for your help! AOS Administrative Assistants

Special Education Budget Allocations 2019-20

Please see attached memo and budget guidelines.

All portable classrooms are equipped with a Tactical Emergency Casualty Care (TECC) Kit and a fire extinguisher. These items are assigned to each portable. As portables get moved to another District locations as needed, the TECC Kit and fire extinguisher are to go with the portable to the new location. Some kits and fire extinguishers have been packed up into boxes or moved out in "go kits"/buckets. Schools are expected to find these items and make sure they are placed back in the assigned portable prior to being moved. If the kits and extinguishers cannot be found, the respective school will be responsible for the replacement costs for these items:

1 TECC Kit $180

1 Fire Extinguisher $53

As per the negotiated agreement for licensed employees, two preparation days have been added to the calendar, taking the total number of contract days to 187. No meetings or professional development should be held on these two work days. The first day is scheduled for Monday, August 12th. All licensed employees should be working in the building that day, but please be very flexible this year. Principals are authorized to make other arrangements with teachers who are unable to be at school that day.

The second work day can be scheduled at the employee’s discretion. Employees should notify principals what day they plan to work. Employees can also schedule two four-hour days if they prefer. Many people will want to work both days before the school year starts. Please provide a list of days, to your employees, of when the building will be open and available. If you have any questions please contact your Administrator of Schools.

Jordan School District Nursing Services has revised the blue Student Health Services card that is completed at registration for the 2019-2020 school year, going forward. The online registration has also been revised. New Student Health Services cards on light green card stock will be sent to your school. Please use the light green cards and recycle the unused blue ones. If you need additional health cards, please notify Becky in Educational Support Services.

Tableau Viewer Account Set Up

The Evaluation, Research & Accountability Department is excited to announce the rollout of a new data visualization system that will allow school administrators to drill into their achievement data in new and more meaningful ways at the click of a mouse.  We have purchased Tableau, which is a data visualization software platform that allows us to design interactive charts, graphs, and crosstabulations.  These dashboards will include various filters that will allow you to drill into your data at deeper levels.  Your first data dashboard will contain effectiveness ratings from the 2019 UEPC Stakeholder Survey.  Future dashboards, which will be released later this summer and fall, will contain data from RISE, Utah Aspire Plus, WIDA, AP, ACT, etc.

In order for schools to see and use these dashboards, principals will need to set up their Tableau account.  Principals will receive an email from Tableau Online prompting them to join.  Please see the attached step-by-step instructions to set up the school account.  Once the set up process has been completed, I will be able to push out your 2019 UEPC Stakeholder Survey Effectiveness Ratings for your school.

Principals may share Tableau account login information with their assistant principals.  Sensitive student and teacher information will be included in these data dashboards; therefore, principals may not share login information with school personnel other than assistant principals.  Please contact Ben Jameson with any questions at 801-567-8243 or ben.jameson@jordandistrict.org.

Once your account is set up, you can access the Tableau login page by clicking here:

LAGOON DAY – THURSDAY, MAY 30, 2019

We are looking forward to helping you provide an exciting, successful, and safe experience for your students this year. Following the same procedure as last year, as each bus is loaded and an adult chaperone is on board (at least one chaperone is required on each bus), please let it depart for Lagoon.  Your assistance with this process last year helped alleviate some of the waiting on the bus and congestion at the ticket gates.

Please remind your teachers and staff that only 9th grade students from your school and adult chaperones may ride the bus.  In accordance with District Policy AA416, children of chaperones are not allowed to ride the bus.

This year, the rides close at 4:00 p.m. and the park closes at 5:00 p.m.  Several of our buses will be completing their take home routes and navigating possible traffic on the way back to Lagoon, so please be patient.  Buses should arrive around 5:00 p.m.  For the safety of everyone, please have your designated chaperones report to their assigned school bus loading area no later than 4:45 p.m. for a short procedural meeting with Transportation staff.  Students and chaperones may begin loading at 5:00 p.m.  All buses will depart by 5:15 p.m.  As mentioned above, buses will not depart until an adult chaperone is on board.

Lagoon has provided a map and instructions to each of our middle schools, which are intended to be used by your staff traveling to and from Lagoon.  These resources will help maintain a safe environment for all students on this special day.  Please feel free to make copies of the map and instructions for your staff to use that day.

Thank you for your cooperation.

Feel free to contact Sula Bearden at 801-567-8851 or Kitt Soumpholphakdy at 801-567-8809 with any questions you may have.

Summer Card Access Scheduling

With the end of the school year rapidly approaching, the need to re-evaluate current access levels of your staff may be necessary. Employees with 24/7 access will remain the same, however, access may need to be altered for your teachers, staff and sweepers. Please be aware that if teachers retain their current access levels during summer months their badge will allow them access into the building regardless of whether or not the building has been disarmed. They could potentially trigger the alarm initiating a police response. If your sweepers will be working days, let Sandi Abplanalp know what hours they are authorized to have access.

Please note that District Maintenance workers and District delivery drivers’ access will remain the same (7:00 am-5:00 pm). Please contact Sandi and let her know what days the building will be closed so their access can be removed.

Time zones assigned to the doors will be removed after the last bell on the last day of school. If you want your main door left open or have summer programs running during the summer months, contact Sandi to adjust the schedule. If you have employees that will not be returning in the fall, please collect their badges as part of their final check out and return them to Sandi in the Facilities Services Department. If an employee is transferring, email Sandi their names and new locations as soon as possible so she can assign them to their new location. Please account for all of the lockout/unlock cards, portable passes, recess passes, office passes, elevator passes and substitute passes that are listed in this report.

Please be aware that employees with extended building access will revert back to regular access when the school year ends (with the exception of the head administrative assistants and custodians) and a new Building/Card Access-Administrator Authorization form will need to be submitted when the new school year begins. Please call Sandi with any questions or concerns.

2019 WIDA Reports

Hard copy 2019 WIDA Individual Student Reports (ISRs) will be hand-delivered to schools by Friday, May 24, 2019.  A copy of each student’s ISR printed in English should be placed in their CUM file.

Per state law, a copy of each student’s ISR also needs to be sent home within three weeks of receiving them.  We have included an ISR for the home language listed for each student in Skyward, though the WIDA AMS system does not translate ISRs in all languages.  Along with the ISR, please send home the following documents:

  1. The Yearly Parent Notification for English Learner Status (required by State law)
  2. The Parent/Guardian Guide to the Individual Student Report
  3. The Parent/Guardian Guide to the Individual Student Report for Alternate Testing (only for parents of students that took the WIDA alternate test)

In June, the Evaluation, Research & Accountability Department will disseminate several data dashboards that will allow school administrators to analyze WIDA achievement and proficiency levels using student subgroup filters (i.e., gender, socioeconomic status, race/ethnicity, absenteeism, etc.) and WIDA subtests.  More information regarding these data dashboards will be forthcoming.
