Elementary Administrative Assistants Optional Summer Hours


Elementary school administrative assistants have up to eighty (80) hours of additional time to use during the summer months after the 206 contract ends June 13, 2023 and before the contract begins July 26, 2023. These hours remain optional and flexible and are to be used in coordination with the school principal. No other assistant (full or part time) may use these additional hours.

It is suggested the hours be spread out over the summer months when the administrative assistant is off contract and be used to keep registration current in Skyward and address other matters that typically build up over the summer months (voicemails, purchase verifications, time sheets, etc.). The hope is that these summer hours will aid the school in a successful opening for the students.

The hours should be reported through True Time under the heading “Summer Office Hours” and will be charged to account number: 10 E xxx 0050 2483 152.

Summer Content Monitoring


During the summer months, from June 5th until August 22nd, content monitoring and notifications will have some temporary changes.

  • Notifications to schools will only include administration and not counseling or mental health professionals. This allows for 12-month employees to still receive notifications and not those who are off contract. The notifications will go to the entire team of admin at each school in case there are administrators that are out of the office.
  • Notifications that are not considered emergencies or urgent will not be sent after 2pm to ensure that intervention is reasonable and timely for school personnel.
  • Content monitoring will be checked once per week while school is not in session. 
  • We will continue to receive imminent alerts and will continue to work with administrators when immediate intervention is required.

District Cabinet has approved a change to the end-of-year schedule for Kindergarten testing beginning May 2024. Kindergarten teachers will still have six testing days; however, the testing window will be divided into a five-day block with a scheduled day for makeup testing on the last day of the school year. The second-to-last day of the school year will become the last day of school for Kindergarten. This change will impact both full-day and half-day students.

The calendars at http://planning.jordandistrict.org/calendars/ for 2023-24 and 2024-25 have been updated to reflect the change.

If June 2nd is the last day True Time employees and approvers are working before summer break, please make sure all True Time is submitted and approved on time to avoid a delay in receiving June paychecks.

True Time employees MUST clock out and submit all of their True Time on their last day of work this week, no later than Friday, June 2nd.

True Time approvers MUST approve all of their True Time by the end of the day on Friday, June 2nd.

2023-24 Middle School Summer Allocation


Each middle school in Jordan School District will be allocated $4,000 to assist in covering summer office hours for the 2023-24 school year. Please note that benefits must be deducted from this amount. Benefits are calculated at 7.75% to include FICA, Medicare, and Industrial Insurance. If you choose to use a full-time school employee that qualifies for retirement benefits, an additional 23.69% (Tier I-before July 1, 2011) or 20.02% (Tier II-after June 30, 2011) must be added to the total cost.

This money may be used for time worked from June 1 through August 31, 2023. Employees are to use True Time when working these hours. True Time hours should be submitted weekly. Please email a list of names of all employees who will be working these hours to Keelee Leulaui in payroll at keelee.leulaui@jordandistrict.org and she will add the pay-code ‘TSMRO - Summer Office Hours’ for them to use in True Time. No money will be carried over from the summer hour allocation. All time worked for your summer office hours will be coded as 10 E LOC 8710 2436 154 and should be recorded each month for Cody Curtis’s approval on your school’s allocation form.

We have been approved to move over to a new IEP platform. We will be moving from Goalview/EdPlan to Embrace. Embrace is a program that has multiple programs under one. We will use the system as our IEP system, Medicaid system and 504 system.

Goalview will be decommissioned and no longer operate as of June 30, 2023. Embrace will be in place as our system for documenting and maintaining compliance for IEPs, Medicaid, and 504s. We will begin the migration of data over the summer and provide training during the Special Education Summer Conference.

Training for School Psychologists, Counselors, and Clinical Staff on the 504 components of Embrace will be conducted at another time.

You are strongly encouraged to attend the Embrace training in person on August 8th.

We will also have administrative sessions to highlight what administrators will want to know about Embrace on August 8th as well. We are excited about the new system and the opportunities moving forward.

Next Thursday, May 11, from 1-3, at the ASB Auditorium, we will have our last ELD meeting of the year. We have a work group for secondary at 12:30 p.m. and elementary at 3:00 p.m. The sub code is on the attached flyer.

Admin, this meeting is optional for you, but please encourage and support your ELD lead in coming. We want to celebrate all our ELD leads have done this year. If you will have a new ELD Lead next year, please let Michelle Love-Day know ASAP so she can invite them to the meeting next week.

The administration of the Jordan School District, in consultation with the Board of Education and employee groups, is pleased to begin observance of the official state holiday for the Juneteenth National Freedom Day. This year, Juneteenth National Freedom Day will be observed on Monday, June 19, 2023. District offices and locations will be closed on this day. This change will impact the current year calendar for contracted and hourly employees on 242- and 245-day contracts, as well as CTE Coordinators on 207-day contracts.

Utah Code 63G-1-301(1)(f) outlines the scheduling of Juneteenth in Utah:
(f)(i) The Juneteenth National Freedom Day holiday is on June 19, if that day is a Monday.
(ii) If June 19 is on a Tuesday, Wednesday, Thursday, or Friday, the Juneteenth National Freedom Day holiday is on the immediately preceding Monday.
(iii) If June 19 is on a Saturday or Sunday, the Juneteenth National Freedom Day holiday is on the immediately following Monday.

2023 Raw WIDA Access Results Available in WIDA AMS

The 2023 WIDA Access raw results are now available in DRC Insight. These reports are based on students who completed WIDA testing in your school this year, but they do not include students who will be enrolled in schools for the 2023-24 school year (i.e., incoming 7th and 10th graders). Many schools need these results as soon as possible so that they can finish building their ESL Study Skills classes into their master schedule. Evaluation, Research & Accountability is working to provide this information, based on your projected enrollment for the 2023-24 school year.

In the meantime, school administrators with accounts (contact JoLynn Snelgrove if you need an account at jolynn.snelgrove@jordandistrict.org) and test coordinators may access 2023 WIDA Access results for students who tested in your school using the following steps:

  1. Login to DRC Insight (WIDA AMS): https://www.drcedirect.com/all/eca-portal-v2-ui/ - /login/WIDA
  2. Click on the My Applications tab on the top left. Then click on Report Delivery under Scoring and Reporting: 
  3. Click on the Test Results tab:
  4. Click on each drop-down menu so that it looks like the screenshot below (make sure your school name appears under the School drop-down menu), then click Download Reports:
  5. Confirm your reports download by clicking on Download Reports again:

The report will download an Excel CSV file. Columns H and I contain the student names. Columns AY-BE contain the language proficiency level.

Validated and cleaned results will be published on Tableau viewer accounts in the next week or two. Printed individual student reports (ISRs) will be delivered to schools when they become available later in May.

Volunteer reports need to be submitted to Insurance Services. Workers' Compensation insurance costs are based on numbers submitted by schools. It is important that this information is accurate and complete. PTA figures must be separate from other volunteer hours. Attached is a copy of the Volunteer Report for the period from December 1, 2022 to March 31, 2023.

Please complete this form and send it back to Bonnie Brennan, the Director of Insurance Services, by May 15, 2023.

National School Nurse Day was established to foster a better understanding of the role of school nurses in the educational setting.

Federal Regulations require the district to certify the payroll of any employee being paid with federal funds. Accounting identifies employees that meet this federal criteria and prepare certification forms by location. Principals and department heads please review the attached instruction memo and look for your payroll certification email the week of May 1, 2023. Certifications are due Friday, May 26, 2023.
