As a reminder, the attached form, Educator-Directed Paid Professional Hours PLAN is due from your eligible licensed personnel on or before the fifth day of instruction.
In addition, the Educator-Directed Paid Professional Hours Time Log has been revised to reflect a change in the due date. Please make your eligible employees aware of the new April 1, 2024 due date for their log/timesheet to be turned in. The LOG/TIMESHEET must be turned in no later than April 1, 2024 so that amounts may be paid in the May 2024 paycheck. If employees have already turned in their plan they do not need to fill out a new one.
The attached instructions and background information are to help you in compiling the timesheets that will be coming to you from your licensed personnel.
BACKGROUND INFORMATION
The Utah State Legislature passed HB 489 in the 2023 session which allocates up to 32 hours of educator-directed paid time to each school-based educator for the 2023-24 school year.
PRINCIPAL/ADMINISTRATIVE ASSISTANT INSTRUCTIONS
Principals and administrative assistants have six assignments:
Eligible licensed personnel must turn in their plan to the principal or administrative assistant (designated person) on or before the fifth day of instruction.
August 25 – 7th grade, High School
August 28 – Elementary grades 1-6, Middle School grades 8-9
September 6 – Kindergarten
Principals are asked to give time in a meeting at the beginning of the year for eligible staff to fill out the Professional Hours Plan and turn it in.
The designated person will complete the Google Sheet with all received plans by September 15. Schools will keep the copies of the Plan on file at the school for auditing purposes.
If you are a contracted employee and need to take Annual/Personal Leave on a Critical Day before/after Labor Day for any reason not listed in policy DP335NEG or DP335B, you must submit a request as follows:
How to Request
During the window, the employee must send the request through email. Please include your name, school, position, and the date you are requesting the leave. Requests left on voicemail or over the phone will NOT be accepted.

The employee will receive an email confirmation within two working days after submitting the request. If the employee does not receive a confirmation email, then Human Resources has NOT received your request and your leave will not be approved.

As of August 4th, 2023 all administrators will be required to enroll in 2-Factor Authentication for their Google accounts. After this date, you will be prompted to enroll in 2-Factor Authentication the first time you login to your Google account.

Updated Extended Year for Special Educator Stipend Days 2022-23
A specific group of special educators were allowed to work up to 5.5 additional days following the last contract day for the 2022-23 school year. Eligible staff that have days left to work, and did not work all of their allotted days in the fall, are required to complete a survey to be paid for those days.
After you have completed working the days, simply click on the link in the attached memo to start the survey. This link will open on June 6, 2023 and will remain open until July 15, 2023.
Please remember you cannot enter the days you already worked and were paid for in the fall. Submitted days must be worked June 6-9th, 12-16th, or 20th and must be worked in your assigned building(s).
It is important to remember: When asked for the approver for your submission do not put your principal or LEA. Please enter amanda.hamblin@jordandistrict.org so that the submission can be approved through the Special Education office and be sent to the State Office for payment. If you list your building supervisor as the approver, your request will not be submitted for payment.
The assistant principal meeting, to be held in June for all assistant principals, will be held on June 6. This meeting will be held at the JATC-S from 9:00-12:30 pm. Lunch will be provided. Attendance is encouraged but not required at this meeting. In order to have a count for the luncheon please sign-up no later than May 30, 2023 by clicking HERE. We hope to see you all there!

Requests for 2023-2024 Special Calendars – Licensed Only
Your assistance is requested, as the Human Resource Department is preparing special calendars for the 2023-2024 academic year for licensed employees. Special calendars are essential to ensuring appropriate contract pay, time entry, emergency protocols, and temporary employee tracking. Employees who meet certain criteria, as listed below, should have a special calendar on file with the Human Resource Department.
A list of licensed employees at your school/department location who are currently on a special calendar for the 2022-2023 contract year will be emailed to you for review on Friday, May 5, 2023. If needed, please make all appropriate additions, corrections, or other changes by submitting an online Hire/Change form in Skyward to the Human Resource Department. Please follow the additional instructions below.
Criteria for determining if an employee requires a special calendar:

Stipends for Department Chairs and Team Leaders will be paid in May.
● Elementary Schools may pay $300 for 8 Team Leaders.
● Middle Schools may pay $500 for 12 Department Chairs or Team Leaders.
● High Schools may pay $500 for 16 Department Chairs or Team Leaders.
A multiple timesheet roster should be submitted to the Payroll Department by May 2, 2023. All Department Chairs or Team Leaders will be paid out of the same program number from which their salary is paid. Each roster should be clearly marked “Stipend for Department Chair” or “Stipend for Team Leader.”
Kauri Sue, River’s Edge, South Valley, and JATC will be paid as middle schools. If a school houses an additional special education program (cluster program or preschool program), the school will have an additional team leader allocation.

Legislative Supply Envelopes – Due May 1, 2023
We thought a few reminders might be helpful as you collect legislative envelopes.
1) Carry-Over of Unused Supply Funds. Principal approval is required if a teacher would like to carry-over unused funds to the next school year. If approval is given, the principal should sign the envelope in the bottom right-hand box. The Guidelines state that “As a general rule, balances less than $50 should be carried over to the next year.” However, carry-over amounts are at the principal’s discretion. Also, if a teacher has an amount remaining at the end of the year of $5 or less, no return of the funds is needed.
A list of all teachers who have carry-over amounts should be kept so this information can be written on the teacher’s envelope for the 2023-24 school year and added to the amount of the current year funds. As a reminder, if a teacher with a carry-over amount transfers to a different school within the District and the principal allows the teacher to use the carry-over funds at the new school, please communicate this to the administrative assistant at the new school so they can record the information on the teacher’s envelope. If the principal does not approve the use of funds at the new school, the teacher will need to return the unused funds.
2) Payroll Deductions. For teachers not approved to carry over unused funds, a payroll deduction will be needed. The request for a payroll deduction should be sent to Sarah Palmer, director of Payroll, and can be emailed to her at: sarah.palmer@jordandistrict.org. Please provide Sarah with the employee name(s), school location, amount of the deduction, and an explanation about the need for the deduction. Please provide this information by May 10 for the May 25 paycheck or by June 10 for the June 25 paycheck.
3) Principal Use of Unused Supply Funds. Unused supply money that is returned to the District via payroll deduction or other means (check or cash) will be made available to the principal to use. After a payroll deduction is completed, the Payroll Department will provide the Accounting Department with the school location and amount and a journal entry will be done to transfer the funds to the school’s 2000 account.
4) Teachers that Resign During the School Year. If a teacher resigns during the school year, please ask for the return of his/her legislative supply envelope before they leave. If there is a balance remaining of unspent funds, this money needs to be returned to the District via a payroll deduction made before the employee receives his/her final paycheck. If your school has a check-out procedure for teachers that resign, please add the return of the envelope to the procedures to insure the legislative envelope and unused funds are returned.
5) Storing Legislative Envelopes. After collecting the envelopes on May 1, please keep them in a secure location at the school for a period of four years. The envelopes are subject to random audits by District auditors.

District support staff are among the unsung heroes of the Jordan School District. Each year Jordan District school principals and department heads are invited to nominate one non-teaching/support staff employee for recognition.
All full-time Jordan School District Education Support Professional employees are eligible. Past winners of this award are not eligible for nomination. One nomination per department/school will be considered. Please make sure the Nominee's Department Head or Principal has approved this nomination.
Nominations will be accepted until 11:59 pm, Monday, April 17, 2023.

Large Surplus Sale End of School Year 2023
With the closure of West Jordan Elementary School (WJE), the surplus warehouse will be holding a large public surplus sale at WJE this summer. After schools have a chance to select any items they desire, the public surplus sale for any remaining items will be held. In conjunction with that sale, we would also like to add any surplus items you currently have or will be disposing of by the end of the year. Please note: you do not need to wait for any of the below dates or deadlines to surplus your unwanted items between now and the end of the school year. The surplus warehouse will still make their regular pick-ups after receiving your surplus paperwork.
To successfully do this large of a sale, we ask for your assistance by separating your surplus, including your paperwork, into three categories:
Each category is treated differently. We are working with our electronics and books recyclers to possibly pick-up directly from the schools. But, we cannot make those arrangements until we know the quantities available. However, we can pick-up all your items by the dates indicated below.
