The employee will receive an email confirmation within two working days after submitting the request. If the employee does not receive a confirmation email, then Human Resources has NOT received your request and your leave will not be approved.

Jordan School District employees are responsible for knowing and adhering to all district policies and procedures. The crucial policy review is available to district employees in Skyward through “Online Forms.” As a condition of continued employment, all employees (i.e. Licensed, ESP, Substitutes, Coaches, Miscellaneous adults, etc.), with the exception of minor students, will be required to complete this training. We ask your assistance in notifying your employees of this required training and ask that this training be completed by November 1, 2023.  

A message will appear upon login of Skyward Employee Access for the employee to complete an “Online Form.” Employees can complete the steps at that time or can return to the review at another time by selecting “Online Forms” under “Employee Information.”  Attached is a tutorial to assist in completing the review.

Reports of completion will be available through Skyward so you can verify that your staff members have completed this process. A tutorial is attached for your reference. If you or any staff members need technical help, please call the help desk at 801-567-USER (8737).

Before October 20, 2023 Deadline:

  • Hold your first SCC Meeting
  • Update the State website with your council members
  • Electronically sign the Principal Assurance portion (on the page where you update the council members)
  • Update your school website with the required information (see information below)

The State Office will begin looking on October 20th to see if Jordan School District has completed these items. Please make sure everything is updated and completed, both on your school website and the State LAND Trust website.

Reminder: School FTE Audit's DUE Monday, October 2, 2023

School Administrators:

The School FTE Audit process is critical in ensuring employees are paid accurately and out of the appropriate budgets. Like last year, the FTE Audit will be electronic. Below is the process we will follow for the audits:

Electronic FTE Audit Process:

  • September 20, 2023 – HR has shared with principals and administrative assistants the FTE Audit Report via Google Sheets. Please review the report with your administrative assistant. The report will include verification of faculty/staff, FTE, title and budget code(s). Please refer to the “Instructions” sheet in the document for assistance in completing the audit.
  • October 2, 2023 – DUE DATE for the FTE Audit Report to be completed for HR to process. Check the “yellow” box on the front page to indicate audit completion.
  • THE BEST NEWS OF ALL – All corrections made on the FTE Audit Report will be made by HR upon return. Change forms will not be required; however, new hires not listed on the report will require the submission of a hire sheet to HR in Frontline.
  • If you are interested in meeting with HR to review/assist with your audit, a link will be available on the Instructions sheet in your audit documents. You are welcome to invite your administrative assistant and Assistant Principal. You can schedule a time to meet. We ask that you review the audit and come prepared to the meeting with needed changes to your audit.

CPR/First Aid/AED Certification


Jordan School District requires that at least 3 full-time employees in each building be certified in CPR, First Aid, and AED. Most certifications are valid for 2 years. It is also recommended that employees who will have direct responsibility for student health and safety be CPR/First Aid/AED certified. This may include front office staff, playground aides, hall monitors, P.E. teachers, etc. It is also recommended that you keep a list of current CPR/First Aid/AED certified staff members by all main phone lines where calls for emergency help may originate. A template is attached.

CPR, First Aid, and AED training and certification is now available to district employees in an online format through the National Safety Council (NSC). The attached document will outline the steps necessary to complete the online portion of the course. Information can also be accessed by going here: CPR & First Aid. The cost of the course is $29.95 and should be paid by the employee at the time of registration. Schools may provide reimbursement for the course, if funds are available, by following appropriate pre-approval and reimbursement procedures.

Once the online course is completed, employees may sign up to complete their certification by attending a 2 hour skills check session with our district nurses. To sign up for a skill check, you will need to register with JPLS under CPR/First Aid/AED skill check. All skill checks must be completed within 45 days of sign-up for the online course. The dates and times for the skill check sessions are listed on the attached flyer.

Please complete the attached CPR/First Aid/AED certification form and return it to the Nursing Services office (Nadine Page) by November 16, 2023.

The wellness team is excited to announce the continuation of the Employee Wellness Representative. This program is intended to support employee health and wellness. The Employee Wellness Representatives will primarily be responsible for supporting faculty/staff wellness efforts within your schools or department.

If you’d like to have a representative for your school or department, please note the following information:

  • We will be holding an Employee Wellness Representative Training Retreat on 9/19/23 & 1/19/24, details will be shared with wellness reps and administrators from schools who designate a representative for their school or department.
    • As a peer support program, we recommend that each school select a non-administrative, licensed staff member (we also encourage you to choose someone who is not a member of the mental health team). Ultimately, it’s best to choose someone who is not a supervisor, has the trust of their colleagues, and can support employee wellness initiatives at your school or within your department.
    • If a substitute is required to attend the training retreats, schools will need to cover the cost of a substitute.
    • Administrators are invited to attend the retreat with their designated employee wellness representative, these trainings will focus on strategies for employee
    • Our District Wellness Specialists will maintain contact with each representative and support your efforts.

As a reminder, the attached form, Educator-Directed Paid Professional Hours PLAN is due from your eligible licensed personnel on or before the fifth day of instruction. 

In addition, the Educator-Directed Paid Professional Hours Time Log has been revised to reflect a change in the due date. Please make your eligible employees aware of the new April 1, 2024 due date for their log/timesheet to be turned in. The LOG/TIMESHEET must be turned in no later than April 1, 2024 so that amounts may be paid in the May 2024 paycheck. If employees have already turned in their plan they do not need to fill out a new one. 

The attached instructions and background information are to help you in compiling the timesheets that will be coming to you from your licensed personnel. 

BACKGROUND INFORMATION

The Utah State Legislature passed HB 489 in the 2023 session which allocates up to 32 hours of educator-directed paid time to each school-based educator for the 2023-24 school year.

PRINCIPAL/ADMINISTRATIVE ASSISTANT INSTRUCTIONS 

Principals and administrative assistants have six assignments:

  1. Assign a designated person to oversee this program
  2. Make sure the plans are turned in on or before the fifth day of instruction
  3. All plans must be logged (with the date received), by the designated person, no later than Sept 15 on the provided Google Sheet
  4. Provide time for eligible staff to complete the plan
  5. Gather and track the timesheets
  6. Make sure teachers follow through

Eligible licensed personnel must turn in their plan to the principal or administrative assistant (designated person) on or before the fifth day of instruction.

August 25 – 7th grade, High School
August 28 – Elementary grades 1-6, Middle School grades 8-9
September 6 – Kindergarten

Principals are asked to give time in a meeting at the beginning of the year for eligible staff to fill out the Professional Hours Plan and turn it in.

The designated person will complete the Google Sheet with all received plans by September 15. Schools will keep the copies of the Plan on file at the school for auditing purposes.

As of August 4th, 2023 all administrators will be required to enroll in 2-Factor Authentication for their Google accounts. After this date, you will be prompted to enroll in 2-Factor Authentication the first time you login to your Google account.

Workers' Compensation insurance costs are based on numbers submitted by schools. It is important that this information be accurate and complete.

PTA figures must be separate from other volunteer hours.

Updated Extended Year for Special Educator Stipend Days 2022-23


A specific group of special educators were allowed to work up to 5.5 additional days following the last contract day for the 2022-23 school year. Eligible staff that have days left to work, and did not work all of their allotted days in the fall, are required to complete a survey to be paid for those days.

After you have completed working the days, simply click on the link in the attached memo to start the survey. This link will open on June 6, 2023 and will remain open until July 15, 2023.

Please remember you cannot enter the days you already worked and were paid for in the fall. Submitted days must be worked June 6-9th, 12-16th, or 20th and must be worked in your assigned building(s).

It is important to remember: When asked for the approver for your submission do not put your principal or LEA. Please enter amanda.hamblin@jordandistrict.org so that the submission can be approved through the Special Education office and be sent to the State Office for payment. If you list your building supervisor as the approver, your request will not be submitted for payment.

The assistant principal meeting, to be held in June for all assistant principals, will be held on June 6. This meeting will be held at the JATC-S from 9:00-12:30 pm. Lunch will be provided. Attendance is encouraged but not required at this meeting. In order to have a count for the luncheon please sign-up no later than May 30, 2023 by clicking HERE. We hope to see you all there!
